CRM INTEGRATION PLANNING

Connect the workflow, not just the tools.

Plan a HeyJake CRM and voice AI integration around the customer record, the handoff, and the result your team needs to see.

Can HeyJake work with an existing CRM?

HeyJake has its own CRM workspace. If your team already uses a different system of record, an integration needs to be scoped around that system’s available APIs, permissions, data model, and operational requirements. We confirm the supported workflow and connector scope before implementation.

Bring a sample workflow to the demo. We can discuss what the agent needs to read, what it should write back, and which steps require a person.

Map these five things first

  1. Customer identity. Which contact, phone number, company, ticket, property, or deal owns the conversation? How are duplicates handled?
  2. Read access. Which approved fields give the agent enough context? Exclude data it does not need.
  3. Write-back. Decide exactly where a transcript, summary, disposition, appointment, and follow-up task belong.
  4. Events and failures. Specify which webhook or event starts work, what happens on retries, and how the team sees a failed update.
  5. Human ownership. Define the person or queue responsible when the call needs review, a callback, or escalation.

Example: an unanswered sales inquiry

A prospect calls after hours. The configured agent collects the inquiry, associates it with the correct customer record, and offers a verified time if calendar booking is connected. A human sees the call history and the requested next step before returning the call.

What needs verification?

Record matching, allowed fields, calendar access, notification delivery, actual event creation, and the fallback when a provider is unavailable. The integration plan should document how each of these steps works in your current system.

What to bring to an integration demo

The CRM or ticketing system name; one representative customer journey; your current routing rules; the fields your team needs; and the person who can approve system access. Avoid sending private customer data for an initial discussion.
